Who can join

Buyer participation is open to tour operators, travel agents, OTAs, distribution channels and MICE professionals who are seeking new products and destinations and who initiate or approve travel-related purchasing decisions.
Participation is free of charge. Travel and accommodation costs in Helsinki are at the participant’s own expense, unless you are part of the Hosted Buyer Programme (by invitation only, managed by Visit Finland, Helsinki Partners and Finnair).

Registration & Validation

• All registrations are subject to the organizer’s approval.

• Once your profile is validated, you will receive a confirmation email titled “Profile validated.”

• You may add colleagues under the same company profile after validation.

• The final day to enter profiles is 9 January 2026.

Your Matka Workshop Day 2026 Buyer badge also grants free access to the Matka 2026 Fair on all event days, 15–18 January.

Returning Buyers, Media & Event Partners

Participated as a Buyer in 2025?

Request your personal profile-restore link from Mr. Mikko Kankaala (ext-mikko.kankaala@messukeskus.com).
If multiple participants were listed under your company profile last event, only the admin profile can be restored, but additional colleagues can be added easily by sharing the new link from the profile.

All profiles will be checked before being published in the catalogue. If important information is missing we will contact you. As soon as a profile is validated, you will receive a 'Profile validated' email. Please check your 'Junk' folder, too, if confirmation email is not received within hours of your registation on working days. If you need help, please email to: Mr. Mikko Kankaala.

Please note, that because of Russia's invasion of Ukraine, we do not accept participants from Russia in Matka Travel Fair or Matka Workshop Day for the time being.

If you arrive from outside the Schengen area, please note that it can take up to 8 weeks to get a visa. We recommend to register early enough, and reserve 8 weeks for visa process to avoid cancellations because of not getting a visa on time.

Suppliers: 

A link to your personal profile will be sent to you within some days after your participation to Workshop Day is confirmed by our sales manager. If you have not received it, please contact: Mr. Mikko Kankaala

Matka Workshop Day Supplier participation is subject to exhibiting in Matka 2026. If you have not ordered stand and/or Matka Workshop Day participation yet, please contact:

Please also note that your Matka 2026 Workshop Day Supplier badge is valid only on Workshop Day 14 January. To access Matka fair on 15-18 January 2026, you need an exhibitor pass.

Media:

While Matka Workshop Day is for travel industry companies, we also welcome to the event international media from relevant markets representing travel or finance sectors. Media are welcome to observe Matka Workshop Day or book meetings. However, please note that most participants prioritize meetings with buyers and suppliers, and may not have a chance to meet with media representatives during the event. All registrations are subject to validation. As soon as a profile is validated, you will receive a 'Profile validated' email. Last day to enter profiles: 9 January 2026. With your Matka Workshop Day 2026 Media badge you have also access to Matka 2026 fair on all days 15-18 January.

Event Partners:
This category is for Visit Finland's and Finnair's representatives who are hosting a buyer group in Matka, as well as for Helsinki Partners' representatives with no sales table. Last day to enter profiles: 9 January 2026. With your Matka Workshop Day 2026 Event Partner badge you have also access to Matka 2026 fair on all days 15-18 January.

Cancellation policy

Cancellation policy

The exhibitor shall have the right to cancel the participation in Matka Workshop Day within seven (7) days of receiving confirmation from the Organizer. Requests for cancellation of participation must be made in writing.

In case the registration has been made closer than 30 - 8 days before the start of the event, the reservation is binding starting from the day of the registration and the participation fees will be invoiced immediately with a 7-day term of payment. 

In case the registration has been made closer than 7 - 0 days before the start of the event, the reservation is binding starting from the day of the registration and the participation fees will be invoiced and will become due immediately.

If the participation fee has not been paid before the event, the organizer has the right to remove the exhibitor from Matka Workshop Day.

Time is valuable for all of us. If you are unable to attend, please inform us as soon as possible for Mr. Mikko Kankaala.

In case of no-show you will not be able to apply participation in the coming Matka Workshop Days.
